Local Campaign

Hi, we in Serbia, are planning a local upload campaign and we will need some support since the Campaign namespace is restricted and not everyone can create or publish campaigns. We would like to ask whom we should contact to have a campaign properly set up. I can prepare a temporary draft of the campaign configuration, but it would need to be reviewed and moved to the appropriate namespace by someone with the necessary permissions. Error in Essential rules

In the essential rules box on the front page there is an error. The "Not accepted" list contains the item "copyrighted content". This is obviously wrong as all CC-licensed content is copyrighted. Why isn’t Australia & nz included?

Why isn’t Australia included? we don’t have zero heritage. I can think of various ballads, songs, ect ect the list goes on. Categorization for national contests

The documentation on how to add photos to the contest only mentions the template {{Wiki Loves Folklore 2026}}, but this template does not categorize to the national categories. There seems to be an additional template {{Wiki Loves Folklore 2026 country}}, that is not mentioned in the rules. {{Wiki Loves Folklore 2026 country}} is optional but recommended and non mandatory. {{Wiki Loves Folklore 2026}} is mandatory. It has no link to national contests. National contests are independent and may/maynot have new upload wizard. These are global templates. Additionally, is there any page, policy, or guideline that explicitly states that including country codes in such templates is required? those will help us have a further discussion. For clarity, Wiki Loves Folklore operates independently from Wiki Loves Earth (WLE) and Wiki Loves Monuments (WLM), and those campaigns do not define standards for how templates on Commons must be created. As mentioned earlier, we intentionally provide an option for uploaders who prefer not to disclose their location publicly, while still allowing them to participate in the campaign. The theme of Wiki Loves Folklore is global and not restricted to any specific country or region. Unlike WLM/WLE, which are inherently location-specific campaigns, our focus is on inclusivity, ethical considerations, and respecting user privacy. The problem are users who participate at Wiki Loves contests since many years and they use the same templates every year for every contest. If they now use for example {{Wiki Loves Folklore 2026|de}} for their uploads, the photos are only added to the global category but not to the regional one, resulting in photos potentially being lost for the regional contest. If the main template does not have and option to categorize also to the local categories there should be a warning on the participation page for these users, that the templates for WLF are different. Wiki Loves Folklore 2026 in India

I noticed that you removed the name of the organization from Wiki Loves Folklore 2026 in India event page on 21 February 2026. Could you please clarify why this change was made and why only 'Open Heritage Foundation' has been kept as the sole organiser of the campaign? As discussed during our conversation earlier, we had requested clarification on the role of Sahiya in organising Wiki Loves Folklore activities at the national level in India. At that time, no substantial information or evidence was provided to demonstrate that Sahiya was undertaking national-level organisational responsibilities for the campaign.
Based on that discussion, it was mutually conveyed that the activities related to Wiki Loves Folklore in Kerala by you would be carried out under the banner of the Wikimedians of Kerala User Group (as you are a part of the Wikimedians of Kerala Usergroup), rather than as an initiative organised by the private non-profit Sahiya Digital Conservation Foundation.
Accordingly, the campaign page was updated to reflect the actual organising entities and stakeholders involved.
Further points for clarity:
  • There is no formal MoU or written agreement between Sahiya and the campaign organisers that establishes Sahiya as an official organiser for 2026.
  • There was no official communication sent to the international Wiki Loves Folklore team identifying Sahiya as a national organiser for 2026.
  • The basis on which Sahiya was initially added as an organiser was not documented or discussed on community channels.
  • While Sahiya may support or collaborate in activities, support does not automatically equate to organiser status, especially in the absence of defined roles or agreements.
  • As per current practice, organisations without formal recognition, financial responsibility, or documented coordination shall not be listed as organisers.
  • The campaign and its specific projects are a legacy and initiative of the Open Heritage Foundation, which remains the principal organiser in India and beyond.
  • Internal discussions (including informal and anonymous inputs) were considered, and in the absence of clear organisational responsibility, the listing was revised.
We deeply appreciate seasoned Wikimedians and like-minded organisations contributing to the movement. Support and collaboration are always welcome. However, for transparency and accountability, organiser listings must be based on clear roles, prior communication, and documented agreements.
As you are a prominent member of the wiki community feel free to take lead to organize the campaign in your region and also the Wikimedians of Kerala can lead this campaign in India if they have prior discussion or have roadmap about how they want to plan other associated activities like organising workshops, Photowalk and facilitate other Indic communities in India.
If, in the future, there is a formal understanding, policy alignment, or defined national-level responsibility agreed upon and communicated, this can certainly be revisited.

Thank you for your detailed response. I would like to clarify a few points to ensure that the page history and prior discussions are accurately reflected. From our side, we were continuing the support similar to what was done last year.
Initial inclusion and communication:
The addition of organisations and structuring of the India page was done following our earlier conversations. On 17 December 2025, you had personally requested that 'Open Heritage Foundation' be added to the India page along with 'Sahya Digital Conservation Foundation'. Based on our follow-up discussions on 3 January 2026 and later you added the OH Foundation name on the India-level WLF page on 6 January 2026 and added the name of Hrithik as the organiser representing OH Foundation on 10 January 2026 at organiser page.
Transparency and page edits:
On behalf of Sahya, I followed the process mentioned on the organising guidelines page and signed up on 9 December 2025. One week before launching and announcing the WLF 2026 India campaign in the India mailing list and social media groups when I enquired about the role of OHF / Hrithik, you mentioned that he would be working on social media promotion activities only. Accordingly I worked on creating the landing page, data page, categorisation structure and Upload Wizard page as part of the organisational work which was carried from December onwards. No objection was raised at that time regarding eligibility or organiser status or need of having a MoU.
As requested by you earlier, I had shared the contributions done from Sahya’s side with you before. Just listing them once again for reference:
  • The landing event page has been created and updated with the information
  • India level data page has been created
  • India level Campaign Wizard page has been created
  • The categorization structure for images, audios, and videos has been created
  • The campaign was announced on the India mailing list and relevant social media channels
  • Messages were shared with previous year participants on their talk page inviting them to participate
I had also requested to share what activities or preparations the OH Foundation has undertaken this year for India level so that we could document everything transparently. During that conversation you mentioned that OH Foundation would update those details on the page. However, this has not yet been shared yet.
Role discussed during calls:
During our conversations, we discussed what Sahya will do this year. Sahya’s role was understood as supporting folklore documentation and campaign-related preparations. At no point was it communicated at that time that Sahya should not be listed, nor was there a request to remove the name. Instead you have requested to have the OH Foundation name on the page and you have added it later on the page before starting the campaign.
Financial responsibility, documentation and community coordination:
Last year, Sahya and Wikimedians of Kerala took financial responsibility, community coordination and documentation through the support received via the India Rapid Project and documented at documented the India-level activities. This year since you communicated that financial support would be managed through the WLF International grant, we did not take that responsibility. However, from Sahya’s side, Manoj had communicated continued support similar to last year and we did the work as mentioned above.
About documentation or prior communication:
Much of the coordination for India last year happened from Sahya’s side along with Wikimedians of Kerala, without any formal MoU with OH Foundation. If a MoU is required for listing organisers, it should be mentioned or communicated before starting the campaign. It would be helpful to clearly state this on the organising guidelines page so that expectations remain consistent for all communities.
Clarification regarding OH Foundation’s contributions:
Since you have mentioned, could you please share the work done so far and the documentation or discussion on where OH Foundation has been recognised as the national-level organiser in India for WLF 2026 edition on community channels before making this edit?
Since Sahya had already completed significant preparatory work, it was concerning to see the name removed by you from the event page without prior official communication or consensus. At no point was it communicated from my side or from the community that Sahya should be replaced by Wikimedians of Kerala at the India level event page. While we were actively engaged in discussions with other entities and continuing documentation and organisational activities, the removal appeared to have been made unilaterally which is disappointing. :(

As stated earlier, the concern here relates specifically to the difference in representation.

Jinoy, in his capacity as a volunteer and seasoned Wikimedian, is always welcome to organise and lead efforts, as Wiki Loves Folklore is fundamentally a community-led initiative. However, the volunteer contributions of individuals should not be conflated with or attributed to Sahiya as an organisation. There are established protocols and community practices around organisational representation and partnerships, which shall become clearer to you with your future experience in handling organisational coordination.

We are not revisiting activities from 2025, as those have already been documented in reports. For clarity, even in 2025, Sahiya’s role in India was limited to being a financial partner, while the actual planning and execution of activities were coordinated by the Indian volunteer community. Therefore, implying that Sahiya undertook broader organisational responsibilities beyond grant management does not accurately reflect the community’s work.

That said, this is not the appropriate space to go deeper into irrelevant past matters. We can discuss this further over a call if needed. Kindly confirm if the Wikimedians of Kerala Usergroup would be involved in this year for activities in Kerala as the page will be protected and we would not be able to edit it further due to its exposure in Central Notice.

I'm not sure which organisation you are repeatedly referring to as Sahiya. If this is a typo, could you please clarify?
  • I would also like to ask again, as my earlier questions remain unanswered - why Sahya Digital Conservation Foundation was removed, while another private non-profit organisation. Open Heritage Foundation was added as a national organiser and why Wikimedians of Kerala has been listed alongside other Wikimedia affiliates, language communities, and non-affiliated clubs.?
  • I acknowledge your point regarding the distinction between individual volunteer contributions and organisational representation and I had already clarified my position on this earlier above.

Can you point out any discussion pages and consensus from the community on related usergroup talk pages, village pump discussions or any other links which are available publicly. I saw you added logos of Wikimedians of Kerala user group, Karavalli Wikimedians user group etc. Can you give the discussion about supporting Wiki Loves Folklore media campaign in Wikimedia commons. Also you added logos Tamil, Bengali, Marathi, Gujarati, Tulu, Kannada languages Wikipedia. So can you give the village pump discussion about supporting Wiki Loves Folklore 2026 media campaign in Wikimedia commons. Is this process transparent? @Ranjithsiji can you make it clear what you mean by answering to the community? Is this organisation which we have removed is your community? Do you consider a private NGO community? Which documents do you require. I don't think that you are even aware of the context what is being discussed here or I am not getting it right.
