These are notes from a real life, face-to-face meeting held between Lodewijk (Effeietsanders), Maarten (Multichill), Elke (Elya) and Tomasz (odder) on Sunday, 1 April 2012, 15:00—17:00 (UTC) in Berlin, after the end of the Wikimedia Conference 2012.

Technical issues

  • Do we need a major overhaul of the UploadWizard? Unsure; Wikimedia Foundation is not going to do it in time if necessary.
    • Maybe we could ask Wikimedia Deutschland to support us with Jeroen's time?

Communication

  • Itzik said he would be willing to tell us what's necessary for a presskit (video footage, printed material, etc.), and would also write us an e-mail about a video he would wish to have;
    • We should create a factsheet about the project and provide it to the people;
    • Statistics: 165,000 pictures, 5,000 participants (including 4,000 newbies).
  • What about community storytellers for WLM this year? Wouldn't we want to have such videos for our purposes?
    • We could contact Europa Nostra's Placido Domingo and Sneska Quaedvlieg-Mihailovic, they might be willing to help.
    • Could we have a UNESCO person record a video for us, maybe?
  • We need to define a communications strategy for this year.
    • We can use famous people, but on the other hand, average Joes (or John Does) can also help.
    • AP Tomasz: Start a discussion about communications strategy in three weeks.
    • Wikimedia UK could help us with defining it, they might have some useful contacts in London-based media.

Participating countries

  • Austria:
    • They are the professionals this year, and are sharing experiences with the other countries. They have excellent partners already.
  • Bangladesh:
    • They are planning to do it no matter what. They have a small community, and want to do it as small as possible.
  • Czech Republic:
    • They have registered their TLD, and started internal preparations, but will need help with the lists. Tomasz is our contact, everything seems OK.
  • Finland:
    • They are not going to do that, Tomasz will update the list.
  • France:
    • They had some internal communication problems, but have the budget and support from the chapter. Will definitely do that.
  • Germany:
    • Volunteers and a staff member of WMDE met this weekend in Dresden. They are probably going to have a partner, and are working on the templates; some new volunteers showed up during the meeting. Things are going OK.
  • Hungary;
    • They are going to join the project, will hopefully hear more from them soon.
  • India:
    • The lists are the first thing they need to work on. They have two options: either contact state/federal government or the other WMF.
  • Israel:
    • Deror is working hard on the project, and has a full support of the Board of Wikimedia Israel. They are going to set a scope and the number of monuments soon, and will check the Wordpress template for right-to-left support, and either contact Elke or fix it themselves.
  • Kazakhstan:
    • Elke and Tomasz met with Nartay from Wikibilim. They are going to have a big conference soon, Tomasz is possibly going to meet them in Almaty and present the project. They have some Turkish monuments and good contacts with photographers' community. They also have strong connections with their Ministry of Culture, will try to get the lists. Tomasz will stay in touch with them.
  • Kenya:
    • They are still not sure if they are going to do that; Kenyan photographing community is not too big. They have some friends in the media, but technology is a problem (mobile phones are not good enough to use them). Wiki Loves Nature could be more possible.
  • Macedonia;
    • They sounded interested. They are a very small chapter, and are very good with media. We won't push them, just let them take the initiative.
  • Mexico:
    • We don't have any details yet. They are apparently working on it, and we hope that the Americas will be invaded by Wiki Loves Monuments this year.
  • Portugal:
    • Joan Miguel is going to lead the project this year. They have plenty of partners already who are approaching Wikimedia Portugal this year.
  • Spain:
    • We had a meeting with the Spaniards and the Catalonians; they are going to cooperate very closely with each other, we'll try to keep an eye on it. They are willing to do a follow-up project.
  • South Africa:
    • Maarten Deneckere is working day and night on the lists. They have partners and sponsors, and a heritage day in September.
  • Sweden:
    • They are going to have a paid employee organising the contest; everything seems OK.
  • Switzerland:
    • They want to do it, not sure about the volunteers but probably going to hire an employee. They are planning to have the lists translated into all the Swiss languages, interconnected.
  • United Kingdom:
    • They have a steering group, but it's not as active as we would like. They have staff support, but are still missing volunteer leaders. It appears that the lists are copyrighted, but freely usable; JamesF knows more about that. They want to help us with international communications irrelevant of whether they will organize WLM in the country or not.
  • United States
    • They need to have a leader soon! Try to poke Sam about that. Nicholas is able to overview their press work, and Moka will be invited to the team.

Other issues

  • We need to introduce her to the job.
  • We guess 3 FTE months would be needed to help us with the contest.
  • What do we think would be a good set of tasks:
    • Keeping track of the timeline and action points, and helping keeping track of priorities;
    • Report on gaps and critical points and deadlines;
    • Take part in our Skype conferences;
    • Country tracking: needs to make sure that we stay in touch with the countries (not do it herself);
    • Keep an eye on the mailing list and flagging when things are overseen;
    • She could join us in contacting sponsors or partners, and help out where necessary;
    • Start finding out on which conferences the project can be presented in October and later;
    • Start working on the Guinness World Records application;
    • Facilitating the international jury;
  • Points to discuss at our meeting with her:
    • Can we use some tracking software, maybe Wikimedia Deutschland could help us with it?
    • Would we be able to make her our press contact?
    • Could she help us with designing outwards-directed documentation?
    • Could she help with communication stuff: packages for press and sponsors?
    • What role could she play with the budget?
    • If we should have a global award ceremony, maybe she could help organise it.
Budget
  • Wikimedia France is considering supporting us with 7,000 EUR.
    • AP Lodewijk: Follow-up with them if neccessary.

  • AP Lodewijk: Contact Kul Wadhwa about possible global sponsors for the project.
