Cologne meeting practics

• arrive by train Friday afternoon/evening
• Friday dinner/easy chatting
• Saturday for work
• Sunday some wrap up, leaving etc.

Update round: who's working on what

• lg: hunting countries, central notice, nothing big but a lot of it
• md: technical related, database, upWiz, categories
• ew: 2 mobile apps
• bf: logistics, addresses, PR coordination, budget

Task package Barbara

• discussion on what is included in Barbara's tasks and what could be added or removed?
• Sponsorship
  • How many prices do we need:
  • motivation or honor prices - a bit of both
  • process: using existing contacts, Europeana, Canon?, our mobile Publishing house? Mobile Contacts?
  • Barbara is in charge. Elke, Lodewijk and Maarten shouldn't spend time on this.
• Additional job: communication topic with the external mobile partner, coordination with other communication
• "keeping an eye" on our mailing communication/questions

Budget

• Budget and project plan n eeded for WMNL who are responsible for it.
  • project responsibilities send that info to WMNL

"calendars", should we still plan for them?

• try the publishing house partner as sponsor for printing and shipping(!), if not possible, concentrate on printing and shipping costs
  • last year: 300g per calendar, 25 per countries free, this year: 10-15 per country
  • We're just spending the money on calendars
  • design ready before images
  • production as soon as possible after jury decision
  • send out before december 31st

Partners

• MD: we have some partners, but not very many, World Monument Fund (chase), INTO (chase), Europeana OK,
• Suggestion: put premium authorities partners on international website (Austria BDA, NL: RCE, Heemschut; South Africa: ) (Elke cares for it, Commons page, ML)

Tech

Mobile

• a lot of API improvements, expanded the monuments API with location information tree (adm0-4), used for navigation.
• lots of todos with the database
• more people needed for …
• Frontend: First Beta is to be released this week, testers are needed
• Communication: careful about not to mix up WMF and external app
  • fact sheet on the mobile app (Iphones and androids)
  • communication: central notice or banner on mobile version for Android users to point them to the app (Phil takes care of that)
    • Targeted communication to only andriods in participating countries

Upload Wizard

• templates are ready
  • Germany needs to be cleaned up based on what Maarten did --> Elke read your emails and inform the Germany team

Database

• MD keeps track on bugzilla, countries to be added
• documentation is mess Lodewijk would help out, with howto structure lists weekend collaborating this weekend (ELM)

Communication

• When to have the press releases ready etc -
  • fact sheet as a basis for local press releases: mold for national press release is be delivered until 10.th of august
  • international press release: 28th august
  • inform ML about timeline of when to expect what --> Barbara
  • Central Notice with additional information if neede (eg. guinness world record)
  • Facebook updates : Lodewijk is in charge!
  • Twitter updates: Elke is in charge @wikimonuments
  • Blog updates discuss with matthew a blogpost per country give them some basic questions / themes a local blogpost per day forming a email to the world list (all social media, just use existing acconts no worth creating new ones) add it on the commons list too have a draft on etherpad

T Shirts

• James Alexander (WMF) was interested in producing T-Shirts (Wikimania Talk). No further results on this.
• decision: no central production of T-Shirts (send update to ML in the communication email above)

- (Elke) put it into FAQ the three colour logo so that local groups can downlod and produce their own T-Shirts. Done

Goodies

• James in charge, e.g. stickers, we will see if it comes up

etc.

• Website updating: How to add English summary pages? (If I know how, I can do it myself, LG) --> Elke gives advise  Done
• Q: another phone conf before the cologne meeting (decide on Saturday)
